Privacy Policy

CollegeCallUp helps a family manage a student athlete’s college soccer recruiting. Doing that well requires access to unusually personal information, including the athlete’s email with college coaches. This policy says exactly what we collect, why, who else sees it, and how to get rid of it.
Who can use CollegeCallUp
You must be at least 13 years old. We refuse accounts for anyone under 13 and do not knowingly collect information from them. If we learn that we hold information about a child under 13, we delete it.
Athletes between 13 and 17 use CollegeCallUp within a Household that has an adult account owner. That adult can see the athlete’s recruiting activity, including their email with coaches. We tell athletes this plainly, because it is not what most software does.
When an athlete turns 18, nothing changes automatically. They may claim their account, which lets them control who else in the Household retains access.
What we collect
- Account information. Name, email address, and date of birth. We collect date of birth to enforce the age rules above.
- Athlete profile. Graduation year, positions, club and school teams, academic information, physical details, and links to video hosted elsewhere. You choose what to enter.
- Email with coaches. If you connect a Gmail account, we read the messages in it and store them so the app can show your recruiting history. See the next section.
- Mobile phone number. Only if you give us one. We use it to send you text messages you asked for, and for nothing else.
- Usage information. Ordinary server logs, and whether a link in a message you sent was opened or clicked.
Connecting a Gmail account
Connecting Gmail is optional, and we ask for it separately from signing in. Signing in requests only your name, email address, and profile picture.
When you connect a mailbox, we read its messages so we can attach them to the right college program, tell you when a coach replies, and show your history with each program. We send messages from that mailbox only when you tell us to.
We recommend connecting a Gmail account created specifically for recruiting, rather than a personal or school address. We read everything in the connected mailbox, and a dedicated address keeps that boundary clear.
CollegeCallUp’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
You can disconnect a mailbox at any time, in CollegeCallUp or from your Google account permissions. Disconnecting stops all further access.
Automated analysis of your messages
We use large language models to read message content and pull out useful facts: that a coach mentioned watching you play, that a reply looks like a personal note rather than a mass mailing, that a camp invitation has a date attached.
Our providers for this are Anthropic, OpenAI, and Vercel. Message content is sent to them for processing and returned to us.
Your message content is not used to train our models or theirs. We do not sell it, and we do not use it for advertising.
Text messages
If you give us a mobile phone number and opt in, we send text messages about your recruiting: a coach replied, a message could not be delivered, a deadline is near. We only send these after you ask for them, and consent to receive them is never a condition of buying anything.
Message frequency varies with your recruiting activity. Message and data rates may apply. Reply STOP to any message to stop receiving them, or HELP for help. You can also turn them off in the app. Carriers are not liable for delayed or undelivered messages.
Because athletes may be minors, a mobile number for an athlete under 18 may be added only by an adult in the Household, who confirms they are the account holder for that number or have the account holder’s permission.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never shared with anyone. We share your number only with the messaging provider that delivers the message on our behalf, and only to deliver it.
What we never do across families
Every Household’s information is separate. Nobody outside your Household can read your mail, your profile, or your activity.
One feature does look across families, and it is worth explaining. To tell whether a coach’s reply was written for you or sent to hundreds of athletes, we compute a fingerprint of the message: a one-directional hash from which the message cannot be reconstructed. We count how many distinct Households received the same fingerprint. No message content and no household identifier ever leaves your Household. This is the only analysis that crosses that line, and it is deliberately built so it cannot expose anything.
Information about coaches and college players
CollegeCallUp maintains a directory of college soccer programs, their coaching staff, and published team rosters. Those people did not sign up for CollegeCallUp.
For coaches, we hold professional contact information published by their school. For rostered players, we hold only what the school publishes on its own athletics website: name, position, class year, hometown, and similar. We do not collect contact details for rostered players.
If you appear in this directory and want your information removed, email support@collegecallup.com. We will remove it. You do not need an account, and you do not need to explain why.
Who else processes your information
- Google — sign-in and Gmail access
- Vercel — application hosting, and AI processing
- Neon — database hosting
- Anthropic and OpenAI — AI processing of message content
- Trigger.dev — background processing
We do not sell personal information, and we do not share it for advertising.
How long we keep it
We keep your information while your account is open. When you delete your account we delete your Household’s information, including stored messages, within 30 days. Backups are purged on their own schedule, within 90 days.
Disconnecting a mailbox stops further access immediately and deletes the stored copies of its messages.
Your choices
You can ask us for a copy of your information, correct it, or delete it, by emailing support@collegecallup.com. Depending on where you live you may have additional rights under laws such as the California Consumer Privacy Act or the GDPR. We apply these choices to everyone, regardless of where you live.
Security
Information is encrypted in transit and at rest. Access to production systems is limited. Google credentials for connected mailboxes are stored encrypted and are used only to perform actions you asked for.
Changes
If we change this policy in a way that affects how we use your information, we will tell you by email before it takes effect.
